This Privacy Policy explains how personal information is collected and used when you visit this website, submit the contact form, complete the coaching questionnaire, or access the free guide.

1. Who we are

Vanja Radmanovac, creator and operator of the Vanja Capacity Studio brand, is the data controller responsible for the personal information described in this Privacy Policy. For privacy-related questions or requests, you can contact her at privacy@vanjacapacitystudio.com or through the contact form on this website.

2. Information we collect

Depending on how you interact with the website and coaching services, we may collect the following information:

• Contact information, including your name, email address, country, and any message you send through the website.

• Application and coaching information, including your goals, training experience, current activity, available time and equipment, daily routine, stress, sleep, energy, posture, tension, pain, injuries, or other limitations you choose to disclose.

• Photos and videos of posture or movement that you voluntarily provide during the assessment or coaching process.

• Communication records from email, WhatsApp, or Viber.

• Free guide information, including the name and email address you provide when requesting the guide through Gumroad.

• Email marketing information, such as your email address, consent status, subscription preferences, and unsubscribe activity, if you separately choose to join the mailing list.

3. How we use your information

We use personal information only for the purposes described below:

• To respond to questions and messages submitted through the contact form.

• To review coaching applications, understand your goals and circumstances, recommend an appropriate coaching option, and take steps at your request before entering into a coaching agreement.

• To create, deliver, monitor, and adjust personalized coaching programs.

• To communicate with clients, provide support, review progress, and respond to questions through email, WhatsApp, or Viber.

• To deliver the free guide when you request it through Gumroad.

• To process and confirm payments, maintain transaction records, and meet applicable accounting or legal obligations.

• To maintain the security and proper operation of the website, prevent misuse, and comply with applicable legal obligations.

Depending on the purpose, personal information is processed because it is necessary to respond to your request or take steps at your request before entering into a coaching agreement, to perform an agreed coaching service, to comply with applicable legal obligations, or for legitimate interests such as maintaining the security and proper operation of the website and administering the coaching service. Where processing is based on consent, including the processing of relevant health-related information where required, you may withdraw that consent at any time.

4. Health and wellbeing information

The coaching questionnaire and coaching process may include information about tension, posture, pain, injuries, physical limitations, energy, sleep, stress, exercise history, or other health and wellbeing matters that you choose to provide.

This information is used only to assess whether the coaching service is appropriate for you, adapt training and support, and help plan exercise more safely. It is not used to provide a medical or psychological diagnosis, treatment, or rehabilitation.

Where this information qualifies as sensitive or health-related data, it is processed only with your explicit consent. You may withdraw that consent at any time. Withdrawal does not affect processing that took place before the withdrawal, but it may mean that Vanja cannot safely provide or continue the relevant coaching service.

Photos and videos of posture or movement are used only for assessment, program adaptation, and progress monitoring. They will not be published, used in testimonials, or used for marketing without separate permission.

5. Service providers and data sharing

Vanja Capacity Studio does not sell or rent your personal information.

Personal information may be shared only when necessary with the following service providers:

• Gumroad, which is used to deliver the free guide and process the information required for that request.

• MailerLite, if you separately choose to subscribe to newsletters or marketing emails.

• Email, WhatsApp, and Viber providers, when these services are used to communicate with you during the application or coaching process.

• PayPal, banks, or other payment providers, when needed to process or confirm a payment.

Information may also be disclosed to professional advisers, courts, regulators, or public authorities when required by applicable law, necessary to protect legal rights, or needed to respond to a lawful request.

These providers receive only the information reasonably necessary to perform their services. Depending on the service and circumstances, they may process information on behalf of Vanja Capacity Studio or act as independent data controllers under their own privacy terms.

6. International data transfers

Some of the service providers used by Vanja Capacity Studio may process or store personal information in countries other than the country in which you live, including countries outside Serbia or the European Economic Area.

Where required by applicable data protection law, international transfers are subject to appropriate safeguards, which may include adequacy decisions, Standard Contractual Clauses, or other legally recognised transfer mechanisms.

We take reasonable steps to use reputable service providers that maintain appropriate privacy and security measures. However, their handling of personal information is also governed by their own privacy policies and terms.

7. How long we keep your information

· Coaching applications that do not lead to a working relationship may be kept for up to 12 months after the application or last communication.

· Information relating to active coaching clients, including assessment information, progress records, photographs, and movement videos, is kept during the coaching relationship and for up to 12 months after it ends, unless it needs to be retained longer for legal reasons.

· Payment and transaction records are retained for the period required by applicable tax, accounting, and legal obligations.

· Email marketing information is kept until you unsubscribe or withdraw your consent.

When personal information is no longer required, it will be deleted or anonymised where reasonably possible. Limited copies may remain temporarily in secure backups maintained by service providers before being automatically removed according to their retention procedures.

Depending on the data protection laws that apply to you, you may have the right to:

To exercise any of these rights, use the contact form on the website or email privacy@vanjacapacitystudio.com. We may need to request limited additional information to confirm your identity before responding. Requests will be handled within the timeframe required by applicable law.

9. How we protect your information

We take reasonable organisational and technical measures to protect personal information against unauthorised access, loss, misuse, alteration, or disclosure.

These measures include limiting access to personal information, using password-protected accounts and reputable service providers, and sharing information only when necessary for providing the requested service.

However, no method of transmission or electronic storage is completely secure. For this reason, we cannot guarantee absolute security. Please do not send medical records, identification documents, payment card details, or other information that is not necessary for your enquiry or coaching application.
